    Folks, I now have the room booking code for the agreed reduced rate of $40.99 (+12.5% tax = $46.11).

    The delay in posting this here was that (as can be seen) they made an innocent error in the original contract, including the $10/night resort fee. But we'd agreed that would be waived, so they needed to re-send an amended version.

    Here it all is, so you know all the formal details. Much of it is irrelevant to individual booking, but there's useful info there about:
    • Occupancy of each room (2 people at no extra cost, max 4 per room, $10+tax extra per additional person above 2)
    • How to book
    • Cancellation
    • Wi-Fi, phone rates, package delivery, etc.

    Bill - thanks so much!

    Quick question about the dates. In the email you sent out on January 20, you indicated it would be best if we arrived the evening of Saturday, March 30, as it would be a full 3 day event, Sunday, Monday and Tuesday, with departure on Wednesday, April 3rd.

    I see in the contract above it is only for March 31st and departing on April 3. That means we will only have a 2 day event, really, if folks are arriving on Sunday the 31st. Or am I missing something?

    Just wanted to clarify. Thank you!

    Hey, thanks, and well-spotted. Yes, that's actually a little loose from the Aquarius, and I'll make sure that's all tightened up.

    The room we're using for the meeting is booked from 31 March—2 April inclusive (3 days), so in order to be there for Sunday morning 31 March, people will need to arrive on Saturday pm 30 March and have their personal hotel room booked for that night. (So I'd imagine most people will book a room for 4 nights, to span the event.)

    I am daunted by the extra costs:

    My canadian money worths about nothing (25 to 30% exchange rate - in Canada, we don't feel it, but as soon as we get out, even Cuba was expensive)

    The wrong information from the conference website:

    The hotel is 41.29$ US on week time but 70.29 on Friday and Saturday night, this is information from the hotel staff (usually, when there is an agreement for a conference, the prices are stable all week including week ends, I had never seen this)

    I cannot reach the conference organizers to ask why this happens and other questions on cost

    On Monday night, we do not have rebates, unless you give us a code Bill. Bill, do you have a code for that night?

    From Las Vegas airport to Laughlin transportation is expensive if the flights do not match the very restricted hours the transport companies give: neither of the two advertised on the conference site do anything after 5PM. They both have a 12h00 transport and a 5Pm transport, nothing else. So if I take the filght after my day work and arrive at 9h45 PM I am doomed. The following morning is not better to be on time for the conference. In other terms, I would miss an extra day of work because of this. If I reserve for a late transportation, I have to reserve 45 hours prior and it is a whooping cost of $175 US one way ($more than 200 CA for me one way only, 400$ two ways, near the price of the filght which is 505$ Can)

    Bill we don't have your request yet for our contribution to your meeting room, please, can you tell us before hand. Thanks

    And I wonder which other extras I will find out.

    Well, here it is.

    The booking code to quote is C-PAG19 (see my post #90 above), and the price would be $46.11 (including tax) for each or any of the 4 nights 30 March—2 April inclusive. (i.e. arriving Saturday pm and checking out Wednesday morning.)

    Of course, there'll be separate hotel costs for meals and refreshments. As best I remember (I was there back in 2006), it's not too expensive at all... the whole idea of their attractive price structure is to lure people there so they can spend most of their money gambling.

    It does look like we'd have about 30 people in total. To cover the meeting room hire, my own time and costs, and all other expenses, the additional $$ for each member would be something like $20/day for the 3 days. I state it like that because at least one person lives in Las Vegas, is working during the week, but can still be there on the Sunday (i.e. just one day of the three).

    But it'd be round about that order of magnitude, and I'll look more closely at this in the next few days.

    I phoned, asked, and they do not. They offered me the private booking as they say for 175$ US one way.

    The conference website is misleading.

    You may have many people stranded in Las Vegas with these wrong informations.

    I do not know where you are departing from Chanie, but if it is Toronto or Montreal, you will end up with the same problem as mine. Maybe we should rent a car for one way trip, and rent back for one way trip on the way back. Depending on the dates you are travelling.

    I’m attending the other conference as well so I won’t be able to share a rental car. I should be able to get a booking on the Aloha Shuttle though (hopefully!) as I timed my flights to catch it. It means leaving in the very early hours of the morning here.

    A quick input here. This is a screenshot of the shuttle info as shown on the main conference Hotel and Transportation page.

    I welcome any other info regarding whether the info is incorrect or not, especially about the Mills Tours shuttle schedule... that's pretty important.

    As a pure guess, it looks like the actual 1.30 pm shuttle has been mistaken by the conference organizers to be 11.30 pm, with a typo (an extra '1') innocently inserted in their own info.
